The Virtual Event Lead is responsible for overseeing the end-to-end process of virtual events, including webinars, from pre-event planning through post-event analysis. This role ensures smooth execution by managing technical aspects, troubleshooting issues, and improving the overall attendee experience. The Virtual Event Manager will work closely with cross-functional teams to coordinate logistics, content, and resources, while also utilizing tools like Zoom Webinar and Notion to streamline event production.

Job Description

• Oversee the entire process for multiple webinars each week, including scheduling, invitations, and troubleshooting.
• Coordinate and manage all logistical aspects of virtual events, ensuring smooth execution from start to finish.
• Work closely with stakeholders, presenters, and third-party vendors to ensure event goals are met.
• Generate event invitations and Zoom webinar links.
• Troubleshoot technical issues during live events to ensure minimal disruptions.
• Ensure optimal video/audio quality, attendee access, and interactive features (polls, chat, etc.) during events.
• Proactively identify areas for improvement in webinar setups and attendee engagement.
• Implement new strategies, tools, or approaches to enhance the virtual event experience.
• Collaborate with the content team to ensure webinars align with organizational goals and audience needs.
• Gather and analyze feedback from attendees to assess the effectiveness of each event.
• Create reports based on attendee engagement, poll responses, and technical performance.
• Share insights and recommendations for future events to improve efficiency and engagement.
• Use Notion or similar project management tools to plan, organize, and track event timelines, deliverables, and resources.
• Ensure timely and accurate execution of tasks related to event production, including content creation, platform setup, and speaker coordination.
• Work cross-functionally with marketing, content, and technical teams to ensure alignment on event objectives and deliverables.
• Communicate with external partners or vendors to coordinate third-party virtual events.

Required Qualifications

• Proven track record of managing multiple virtual events simultaneously.
• Extensive experience using Zoom Webinars for virtual event hosting.
• Ability to troubleshoot basic IT/AV issues during live events (Zoom, internet connectivity, audio/video quality).
• Strong communication and interpersonal skills, with the ability to work with various stakeholders and teams.
• Strongorganizational and time management abilities, with a high level of attention to detail.
• Proactive mindset with the ability to think critically and troubleshoot problems during events.
• Ability to analyze data, create reports, and suggest improvements.
• Ability to manage 2-3 events per week, with flexibility in handling any event-related changes or urgent issues.
• No on-site or in-person presence required for events, but ability to manage remotely.
