Treasury and Cash Management Specialist

Responsibilities

• Monitor daily bank balances to ensure cash positions are accurately maintained.
• Download and save daily and monthly bank activity documents for record-keeping purposes.
• Coordinate positive pay exceptions with the appropriate internal and external parties.
• Prepare and execute daily transfers to ensure sufficient cash is available for payroll, significant vendor payments, and other essential disbursements.
• Ensure compliance with policies regarding required minimum balances and related procedures.
• Coordinate transfers between accounts, including endowment and operational accounts.
• Identify and notify stakeholders of large or unusual transactions to ensure proper follow-up.
• Assist with drawdowns of federal funds as needed.
• Assist the Assistant Controller in forecasting cash needs based on analysis of incoming deposits and outgoing payments.
• Prepare medium and long-term cash forecasts, accounting for fluctuations in deposits and outgoing payments.
• Communicate with departments to gather information related to significant payments to help forecast cash needs.
• Identify liquidity issues and, if necessary, prepare draws on the line of credit.
• Develop strategies to optimize cash flows, including negotiating favorable payment terms with vendors and maximizing returns on idle cash.
• Review and maintain the list of outstanding checks to identify uncashed or uncleared checks.
• Ensure compliance with the State of Hawaii’s unclaimed property laws, preparing necessary reports and remitting unclaimed funds to the state.
• Maintain documentation of all attempts to contact payees for uncashed checks, ensuring compliance with due diligence requirements.
• Work with Accounts Payable to coordinate reissuance of payments when applicable.
• Prepare and submit reports to the State regarding unclaimed property, ensuring all requirements are met.
• Assist with debt servicing activities, including interest payments and principal repayments on time.
• Ensure proper accounting for debt-related payments and reconcile related accounts.
• Maintain documentation and records related to the line of credit, bonds, and other debt instruments.
• Maintain accurate records for bank accounts, including information on signatories and authorization policies.
• Update banking records when necessary due to staff turnover or changes in responsibilities.
• Respond to requests for banking information, such as providing depository account details or W-9 forms.
• Assist in reviewing monthly, quarterly, and annual financial statements to ensure accurate reporting of cash and cash equivalents.
• Support the reconciliation of bank accounts by providing insight into discrepancies and assisting in resolving unreconciled transactions.
• Maintain documentation for assigned tasks and responsibilities.
• Assist with audit workpapers and schedules related to the areas of cash management and banking.
• Complete special projects and provide ad-hoc reporting or analysis as needed.
• Other duties as assigned by the Controller or Assistant Controller.

Qualifications and Requirements

• Experience utilizing Microsoft Excel, Word, Outlook, and Teams or comparable software.
• Experience working with customers and/or clients to effectively complete work tasks.
• Ability to perform accurately when working with financial information and data.
• Ability to follow instructions and interpret and apply directions and procedures to daily work.
• Ability to establish and maintain effective working relationships.
• Ability to communicate effectively verbally and in writing.
