Responsibilities
• Actively engage with customers to ensure the timely payment of invoices.
• Ensure that customer invoices are properly delivered and received by customers to facilitate timely processing.
• Identify accounts with outstanding invoices, contact customers to review the status of their accounts, and resolve past due balances by sending reminders and/or account statements via phone and/or email.
• Prepare and accurately post cash receipts to customer accounts daily, ensuring all payments are properly allocated.
• Input collection notes in the ERP system (NetSuite) for visibility to the management and other team members.
• Partner with the accounting staff to address any collection issues and improve the timeliness of payments.
• Support the Finance department with any other assigned tasks or projects as necessary.
• Protect the organization’s financial data by maintaining confidentiality in all communications and processes.
• Advise management of any collection issues or escalations in a timely manner to ensure proactive resolution.
• Process approximately 3,000 invoices per quarter, ensuring accuracy and timeliness in a high-volume environment.
Qualifications and Requirements
• At least one (1) to two (2) years of experience using NetSuite.
• Prior experience working with a US company
• Prior experience with one of three skill sets
o GL accounting / monthly close / account and cash reconciliations
o Customer invoicing and collection
o Processing vendor invoicing / company credit activity / employee expense reports
o Preference (but not a requirement) to have worked with technology / software / consulting / medical / other high volume customer invoicing environments.
• Proven experience in Accounts Payable.
• Experience processing a high volume of invoices (approximately 3,000 invoices per quarter).
• Clear and coherent in both verbal and written communication skills for engaging with customers and internal teams.
• Meticulous attention to detail and accuracy in managing financial records and posting transactions.
• Strong problem-solving skills to identify issues and resolve them proactively, collaborating with customers and internal teams.
• Ability to manage multiple tasks and prioritize effectively in a fast-paced, high-volume environment.
• Ability to maintain confidentiality and handle sensitive financial information.
