Administrative Assistant


  • Assist partner physicians by preparing prescriptions for patients identified as suitable candidates for clinical equipment.
  • Ensure scripts contain all necessary information for obtaining required documentation for billing purposes.
  • Communicate with clinical teams and attorney offices to obtain essential documentation needed to complete billing processes.
  • Follow up diligently to ensure timely receipt of required documentation and resolve any issues or discrepancies.
  • Process sales orders and accurately submit billing documentation according to established procedures.
  • Verify the completeness and accuracy of billing information before submission to minimize errors and delays.
  • Coordinate the ordering and confirmation of in-office lunches, ensuring timely delivery and adherence to budgetary constraints.
  • Maintain records of lunch orders and expenses for reporting and reconciliation purposes.


  • Clear and coherent in both written and verbal communication skills for effective communication with various stakeholders, including physicians, clinical teams, and attorney offices.
  • Strong multitasking abilities are necessary to manage multiple tasks concurrently and prioritize them according to urgency and importance.
  • Keen to detail to ensure the accuracy and completeness of billing documentation, scripts, and other administrative tasks.
  • Strong organizational skills to maintain order and efficiency in managing billing processes, sales orders, and office logistics.
  • Proficiency in Microsoft Office suite (Word, Excel, Outlook) for creating documents, spreadsheets, and managing email communications.
  • Ability to work independently and as part of a team, with a proactive and collaborative approach to problem-solving and task execution.

Screening Criteria

  • Bachelor’s degree in a related field or equivalent combination of education and related work experience.
  • At least one (1) to two (2) years of experience in administrative roles with a focus on healthcare billing coordination.
  • Must have a stable employment history.
