Responsibilities
- Respond to incoming calls and emails promptly, addressing inquiries and directing them to the appropriate contacts.
- Efficiently managing and organizing calendars for team members.
- Scheduling and coordinating meetings and appointments.
- Coordinating logistics for meetings, including room reservations and technology setup.
- Ensuring timely distribution of meeting agendas and relevant documents.
- Analyzing quotes and invoices to ensure accuracy and compliance with company policies.
- Collaborating with relevant departments to address any discrepancies.
- Develop visually appealing PowerPoint presentations, incorporating relevant content and data to support effective communication.
- Ensuring presentations align with company branding and standards.
Qualifications
- Proven track record in administrative roles, demonstrating a solid understanding of administrative tasks and responsibilities.
- Exceptional organizational skills to effectively manage multiple tasks and responsibilities.
- Clear and coherent in both written and verbal communication skills, with an emphasis on clarity and professionalism.
- Proficiency in Microsoft Office Suite, particularly adept at using PowerPoint for presentations.
- Meticulous attention to detail to ensure accuracy in all administrative tasks, including document analysis and scheduling.
- Demonstrate the ability to anticipate potential issues and take proactive measures to address them efficiently.
- Showcase excellent time management skills, prioritizing tasks effectively and meeting deadlines consistently.
- Work collaboratively within a team, fostering a positive and approachable attitude that contributes to a harmonious work environment.
Screening Criteria
- Bachelor’s degree in a related field.
- At least one (1) to two (2) years of experience as an Admin Assistant or a similar role.
- Must have a stable employment history.
