Project Coordinator

The Project Coordinator is responsible for ensuring seamless execution of marketing projects within the organization. This position is responsible for orchestrating various marketing initiatives, including website redesigns, event planning, email campaigns, and social media promotions. The Project Coordinator serves as a key liaison between internal teams and external clients, ensuring that projects are delivered on time, within budget, and to the highest quality standards.


  • Manage and coordinate marketing communications projects, including website redesign, conference and event planning, email campaigns, and social media promotions.
  • Prepare comprehensive status reports on marketing efforts by liaising with sales and marketing managers.
  • Assist with researching new and innovative opportunities for clients, such as awards and media publications.
  • Support PowerPoint requests using marketing resource materials, including brochures, case studies, data, slides, photographs, and reports.
  • Manage project timelines, provide reminders to stakeholders regarding deadlines, and ensure initiatives stay on track.
  • Act as a project coordinator to facilitate smooth execution of marketing initiatives and document all activities using project management tools.
  • Assist with expense tracking, email creation, industry research, and other support tasks as needed.
  • Manage budgets, including expense tracking and invoicing.
  • Regularly write social media posts, marketing email messaging, Google AdWords copy, blog posts, and other marketing content


  • Familiarity with customer relationship management (CRM) systems such as, HubSpot, and Zoho.
  • Knowledge of marketing automation tools and their role in optimizing marketing processes and campaigns.
  • Capacity to understand and interpret complex healthcare information, terminology, and industry dynamics.
  • Ability to manage multiple projects simultaneously, prioritize tasks effectively, and maintain meticulous attention to detail throughout the project lifecycle.
  • Ability to adapt to changing technology and industry trends rapidly and effectively integrate new tools into workflow processes.
  • Experience with creating and editing documents, presentations, and spreadsheets to a professional standard in Microsoft Office applications (Word, Excel, PowerPoint) and Google Suite (Docs, Sheets, Slides, Drive).
  • Ability to work autonomously, and proactively seek solutions to challenges. Ability to motivate oneself and drive projects forward without constant supervision.
  • Ability to translate technical concepts into accessible language for marketing materials and client communication.
  • Clear and coherent in both written and verbal communication skills, with a keen eye for grammar, punctuation, and syntax.
  • Ability to maintain open lines of communication and provide timely updates to stakeholders.
  • Desire to work collaboratively within a fast-paced, dynamic team environment.
  • Demonstrated curiosity, adaptability, and a proactive approach to expanding skills and knowledge within the marketing field.
  • Highly organized with a strong sense of accountability and commitment to meeting project deadlines.

Screening Criteria

  • Bachelor’s degree in a related field or equivalent combination of education and related work experience.
  • At least one (1) year of experience in marketing for a healthcare IT vendor and/or marketing or PR agency.
  • At least two (2) to six (6) years of experience in Marketing and Project Coordination.
