Medical Records Specialist

The Medical Records Specialist reaches out to the medical facility over the phone to gather copies of medical records.


  • Verify that the medical facility has the necessary records for the patient and the specified dates required by the insurance company.
  • Confirm the practice location and treatment history of the patient if records from a specific physician are requested.
  • Identify and contact the appropriate location where medical records are processed.
  • Ensure that the facility acknowledges the request for records, and if not received, transmit the request via fax or email.
  • Discuss and settle fees required by the facility to cover the cost of copying records.
  • Request the return of records through uploading to our portal/website, email, fax, or mail.
  • Maintain ongoing communication with the facility to facilitate the timely progression of the request until records are received.


  • Ability to request and fulfill a high volume of medical record requests.
  • Exceptional attention to detail and organizational abilities
  • Have high energy, be a self-starter, great teammate and ready to roll up your sleeves to get things done.
  • Possess a strong work ethic and commitment to improving patients’ lives.
  • Be flexible and adaptable with a drive to go above and beyond.
  • Enjoys problem-solving in a dynamic, fast paced, team-based and rapidly changing environment.
  • Can support PST hours.

Screening Criteria

  • At least 1 year of work experience in doing outbound or inbound calls.
  • Strong verbal and written communication skills
  • Good phone etiquette
